Executive Assistant to President and Executive Producer of a high profile, visionary Television Production Company who produce and specialize in large-scale, award-winning live events and music concerts that take place globally.
Done+Dusted Productions is looking for a cool, smart, hard working person to fill the role of executive assistant to the President / Executive Producer. This role will double as an overall office management role, caring for the office space and at times needs of the brilliant staff.
This is full time employment. The position is available immediately.
Executive Assistant duties Include:
Liaising between the company and potential and current high-profile clients with impeccable interpersonal skills. This is a professional, yet fun environment. You will be the face of a very cool company.
Keenly managing the time of the President/Executive Producer. Managing calendars and schedules with upmost detail and attention to world time zones and multiple clients.
Keeping attention on both your email account as well as the President/Executive Producers email account. You need to be just as up-to-date with his emails as you are with yours.
Managing the finances of the President as well as the office space. You will reconcile the credit cards monthly and will need to provide receipts and, at times, purchase orders for every purchase.
Preparing and editing correspondence, reports, and presentations between the company and clients.
Working with our travel agent to arrange travel for the President and office staff.
You will be responsible for 20% personal assistant duties that may include doctors, personal finances, vehicle / home office maintenance and reminders of personal events and matters.
Office Manager duties include:
Answering phones and screening all incoming calls into the office.
Managing reception to ensure effective telephone and mail communications both internally and externally to maintain professional image.
Managing the day-to-day operations of the office, making sure all office personnel have adequate supplies and access to office resources ie. Internet access, printers, servers. parking, craft service
Managing office accounts - telephones, Internet, mobile phones, vendors and hired services as well as web accounts such as vimeo, dropbox and other file sharing accounts.
Organizing and maintaining files and records, show binders and hard drives, and other media for efficient access.
Arranging and supervising the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
Purchasing of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
Maintaining office equipment, including copier, fax machine, etc.
Purchasing craft service and coffee and water to supply the office
-2 years experience in an Administrative / Executive assistant role.

-Work experience in live television production is a very big PLUS. There will be many "show weeks" during your employment and knowledge of live television industry will be very helpful.
-Knowledge of Apple products, In Design, Photoshop, Avid, Final cut pro
